Role Deliverables:

This role is responsible for supporting the day-to-day financial and administrative operations of Hero Home Care with a strong focus on invoicing, payroll, accounts receivable, accounts payable, month end processes tasks and support, compliance, and process documentation. You will play an important behind-the-scenes role in helping ensure the financial side of the business runs accurately, smoothly, and on time.

You will support semi-monthly and monthly invoicing processes for both private clients and third-party funding sources, helping ensure billing is accurate, well documented, and submitted on time. You will investigate discrepancies, support service-based billing accuracy, and help maintain organized workflows that support consistency and reliability.

You will also support bi-weekly payroll for casual caregivers, helping ensure payroll data is accurate, files are properly prepared, payroll is processed on time, and employee payroll changes, ROEs, and payroll-related inquiries are handled carefully and professionally. Because our caregivers are at the heart of what we do, payroll accuracy and responsiveness are critical.

In addition, you will assist with the full cycle of accounts receivable and accounts payable, including payment tracking, reconciliations, invoice follow-up, coding, data entry, and payment scheduling. You will help maintain strong digital records, support month-end processes, and ensure financial files and supporting documentation are organized and easy to trace.

This role also contributes to financial process improvement, helping identify bottlenecks, improve efficiency, and keep “how-to” documentation current and useful. As Hero continues to grow, this role will help strengthen the systems and structure needed to support that growth well.

Duties and Responsibilities:

Support accurate and timely client invoicing and funding submissions, including private billing, third-party contracts, and monthly invoicing processes.
Help manage bi-weekly caregiver payroll by preparing payroll files, reviewing data for accuracy, processing updates, and responding to payroll-related questions with professionalism and care.
Assist with the full cycle of accounts receivable and accounts payable, including reconciliations, payment tracking, coding, invoice entry, and payment scheduling.
Maintain organized, accurate, and audit-ready financial records, files, and process documentation, ensuring strong, transparent, organized digital paper trails with dependable internal systems.
Support month-end, quarterly, and year-end finance activities as needed, including business analytics, benefits administration updates and financial file organization.
Identify opportunities to improve financial workflows, find, improve, reduce bottlenecks, and strengthen the efficiency, clarity, and consistency of Hero’s accounting and payroll processes.

Position Requirements:

A Bachelor’s degree or Diploma in Bookkeeping or Accounting
1–2 years of experience in a Junior Accountant, Bookkeeper, Payroll, or similar finance support role with experience in labour compliance rules and regulation in a service based billing environment
Strong attention to detail and a high standard of accuracy when working with financial and payroll data
Intermediate Excel skills, including sorting, filtering, formatting, Pivot Tables, and VLOOKUPs/XLOOKUPs
Experience using accounting software such as QuickBooks Online, Xero, or Sage/Simply Accounting
The ability to handle confidential employee, payroll, and financial information with a high level of discretion and professionalism
Strong organizational skills, including the ability to maintain accurate documentation and clear digital records for financial transactions
Confidence working in a fast-paced, team-based environment, preferably in a senior home care environment, where deadlines matter and a client’s health and happiness is the number one priority.
